End-of-Year Procedures

To maintain your records in PORTAL and to ensure that the built-in reports are accurate it is necessary at the end of each admission season to perform a variety of tasks to get ready for the next admission season.

The process involves the following steps:

  1. Graduate the graduates.
  2. Withdraw the Transferring students.
  3. Promote the remaining Enrolled students to the next grade.
  4. Enroll the Fall Admits that have been accumulating.
  5. Reset the Re-enrollment fields.
  6. Archive last year’s records. Make active records for the next YOE or who may be rolling for the upcoming academic year.
  7. Move the Preference settings forward.

These procedures are fairly straightforward and are done by first finding the correct records and then using the appropriate buttons on the Enrollment screen. These procedures are not tied directly to KEYSTONE or any other registrar system, thus allowing the Office of Admission to operate on a different cycle than the Registrar Office.

It is critical that these procedures are done all at the same time and at the end of Admission Season. Doing them piecemeal and/or before the season is over will compromise the built-in reports.
