College Applications

With ADVOCATE, it is easy to track and monitor the college application process. Every college to which a student has applied, required paperwork, application deadlines, and student and college decisions can all be monitored.

ADVOCATE allows you to define necessary college application tasks for both students and guidance counselors. These required tasks are determined at solution setup by the solution administrator and are applied globally across the solution. You can monitor progress towards completion of these tasks for each individual college application.

Application items can be marked as required for the application process in the solution preferences. Once all required items are completed, the application will be marked as complete. If necessary, an application can be marked complete at any point in the process to allow for special circumstances.

A list of colleges that are best suited for individual students can be generated. College interview forms can be created that contain a summary of the student’s testing data, recommended colleges for both his or her junior and senior years, and a list of items to be completed by the student.

Student Secondary Reports (SSR)

Two types of Student Secondary Reports (SSR) are available in ADVOCATE—default reports and college-specific reports. Each student may have one default report and multiple college-specific reports. The rating categories for both types are the same and are determined at solution installation in Preferences. As individual student default SSR reports are created, you select a rating in each of the specified categories from pull down menus. Student ratings selected in the default report are automatically applied to college-specific reports. However, you are able to change the ratings and GPA data on college specific reports without affecting the chosen ratings or GPA data on a student’s default report. This allows you to individualize college SSR reports as needed. The default and the college-specific reports are formatted the same, except the college specific report contains the college name and any changes made to the ratings and GPA information.

College Profiles

As college applications are created and as students and colleges make decisions, that information is displayed in graphical format allowing you to view historical admission trends on a per college basis. Scatter grams indicate college admittance patterns based on GPA and SAT composite scores while bar charts indicate how many students applied to the college, how many were admitted, how many were waitlisted, and how many were denied admission per admission season. The ability to chart this data requires a third party FileMaker Pro plug-in. Please refer to ADVOCATE Administration for details.

College Contacts and Favorites

College contacts can be recorded and the primary contact indicated for easy access. Colleges can be marked as favorites, making it easy to filter the 5,000 plus college records and quickly find the colleges with which you most often interact. Additionally, primary college contacts can be sent email using ADVOCATE Email.

College IDs

Each college record is auto assigned a unique College ID. Like Student ID, this Primary Key should not be altered without understanding completely the implications for doing so. Changing these numbers will result in colleges no longer being related to student applications, college contacts, etc. Please refer to ADVOCATE Administration for an explanation of Student and College IDs.
