Prospect Management Concepts

Building relationships with your constituents begins with keeping accurate records of your constituents’ contact information, and then tracking their philanthropic interests and reaching out to them around the issues they care about.

Managing prospects involves assigning solicitors to constituents, tracking solicitor performance, identifying major constituent donors, designating donation ask amounts, monitoring whether or not those amounts have been requested and received, and designating volunteers for various Development Office tasks. GENERATIONS 3.x provides tools for all of these tasks.

Managing Actions

Keeping track of and managing all interactions between the Development Office and constituents is easily done in GENERATIONS 3.x. All past and future interactions with constituents can be recorded including phone calls, mailings, letters, emails, and visits. Detailed notes can be entered, actions can be assigned to individuals, they can be date and time stamped, and they can be marked as active or closed as needed.

Cultivating Relationships by Personalized Email

Sending the same email text to a found set of constituents is easy in GENERATIONS 3.x. With BROADCASTER, each constituent receives the same core email message but with his or her message personalized with data inserted from the individual’s record through the use of merge fields. Spouses may be included in the email and the email can be recorded automatically as an action item if desired. Images, links, and file attachments can also be included. BROADCASTER supports personalized outreach to any constituent or group of constituents.

Creating Mail Merge Documents Inside GENERATIONS

GENERATIONS 3.x has powerful mail merge capabilities that extend beyond the typical mail merge offered in other programs. Text in letters, flyers, information sheets, mailing labels, name tags, etc. can all be merged with data from GENERATIONS, personalizing these items for a found set of records. Mail merged documents can range from a standard form letter containing individualized addressee and salutation information to merged data within the body of a document.
