Schools organize and participate in a variety of events to increase inquiries and applications. These connections to children can be tracked on the Receptions tab. As shipped, PORTAL assumes that no child will be met at more than one fair, but that a child or family may attend up to two open houses. This can be customized and is usually set up during implementation to reflect the school’s activities.
The Receptions screen can be used to organize the event, produce attendance lists, make name tags, generate lists for invitation letters, and later to create performance reports. On the Lists/Forms Org screen the Fairs/Receptions button will display the reception or fair attended. Additional reports and customization can be contracted with iR.
If an inquiry begins at a fair, then that information should be tracked using the Inquiry Source and Inquiry Type fields. It might be helpful, if there are only a few fairs, that the name of the fair is recorded as the Inquiry Source and Fair is the Inquiry Type.
Many schools, especially boarding schools, invite children to visit the campus and attend classes or spend a night visiting. The Second Visit area is a start in organizing these events. Additional fields added here by a school could be used to produce dorm lists for overnight students, class lists for teachers, etc. Customizing this area is far superior to creating a completely separate organization tool for these events.
