TAM2 End of Year Procedures

Note: Please complete the KEYSTONE EOY procedures before proceeding.

KEYSTONE Preferences (for TAM 2)

  • Login to KEYSTONE with Admin privileges, then open KEYSTONE Setup by navigating to the Scripts menu, and selecting KEYSTONE Setup, or Setup and then KEYSTONE Setup (depending on your version of KEYSTONE)
  • Navigate to the Division tab in KEYSTONE Setup
  • For each Division, in the Terms section, update the Start Date and End Date for each term.
    • The Start Date should be the first day the section meets that term, and when you will first take attendance for the sections.
    • The End Date is the last day of classes for that term (and the last day that you will take attendance for the term).
    • It is critical that you do not overlap dates from Term to Term within a division. For example, do not have the Start Date for your Winter Term happen before the End Date of your Fall Term.
  • For each Division, in the Marking Period section, update the Start Date and End Date for each Marking Period.
    • The End Dates for a Marking Period will typically be a few days or weeks after the end of the Marking Period in the classroom. This gives the teachers a chance to enter the grades and comments, and for the school to proof those marks.
    • It is critical that you do not overlap dates from Marking Period to Marking Period within a division. It is OK to have the dates from a Marking Period overlap the dates from a Term.
  • For each Division, update the Grading checkboxes by unchecking all current marking periods, and checking the first marking period for the new school year.
  • Close KEYSTONE Setup by clicking on the Done button

Disable TAM 2 roles for departing teachers and staff

  • Open KEYSTONE, navigate to the TeacherAccess tab, and click on the Web Account Setup button.
  • Find each teacher/staff member that is leaving
  • Click on the the Logins Active/Total button for the teacher. NOTE: this will open Module Access (iRCOMMON)
  • Click on the Remove Access button. This will disable all the TAM 2 roles for the teacher
  • Click Done when you are finished.

Update TAM 2 Preferences

  • If you are not already there, open KEYSTONE, navigate to the TeacherAccess tab, and click on the Web Account Setup button.
  • Once on the Main layout, please click on the Gear icon to open TAM Preferences.
  • Navigate to the Website tab
  • Update the Academic Year to the new school year.
  • Click on the Upload Preferences button

** New STEP:   Log in to iRSCHOOLCENTRALCONVERTER

  • From the More menu, select Data Domain.
  • In the left side DATA window, select DATA: sc_DayAttendanceRecords
  • From the Records menu, select Delete All Records… and confirm the deletion when prompted.
  • In the left side DATA window, click DONE.
  • Close iRSCHOOLCENTRALCONVERTER window.
