Unlike many of our inRESONANCE products, we do not provide a full access account to STUDENT BILLING. The business logic of transactions, credits, and debits is complex and issues arising from changing this logic would be difficult to troubleshoot and could compromise the integrity of critical financial data. We understand that Business Office personnel and school leadership want to be confident that their financial data is secure.
We have done our best to anticipate the needs of our clients when it comes to reporting and viewing data. While STUDENT BILLING is not open, it is customizable to the degree that ensures the integrity of the solution.
The 3 user accounts are user, poweruser and admin. Below are descriptions of these roles and their respective privileges.
- The user account and user Privilege Set can perform the following actions:
- Accounts: can edit Account records and Current Account records. Users cannot create or delete Account or Current Account records.
- Account Contact Log: can create, edit, and delete Contact Log records.
- Address Formats: can create, edit, and delete Address Format records.
- Allocations: can create, edit, and delete Allocation records.
- Batches: can create Batch records and edit data stored in Batches_Extra. Users cannot edit or delete Batch records. If additional fields need to be tracked for Batch records that users want to be able to edit, those fields should be stored in the Batches_Extra table.
- Deposits: can create Deposit records and edit data stored in Deposits_Extra. Users cannot edit or delete Deposit records. If additional fields need to be tracked for Deposit records that the users should be able to edit, those fields should be stored in the Deposit_Extra table.
- Feepayers: can create and edit Feepayer records. Users cannot delete Feepayer records.
- Fees Assigned: can create, edit, and delete Fees Assigned records.
- Invoices: can create Invoice records and edit data stored in Invoices_Extra. Users cannot edit or delete Invoice records. If additional fields need to be tracked for Invoice records that the users should be able to edit, those fields should be stored in the Invoices_Extra table.
- Invoice Schedules: can create, edit, and delete Invoice Schedule records.
- Layouts: can view any Layout.
- Payments: can create Payment records and edit data stored in Payments_Extra. Users cannot edit or delete Payment records. If additional fields need to be tracked for Payment records that the users should be able to edit, those fields should be stored in the Payments_Extra table.
- Scripts: can execute any Script.
- Students: can edit Student records and Current Student records. Users cannot create or delete Student records or Current Student records.
- Transactions: can create Transaction records and edit data stored in Transactions_Extra. Users cannot edit or delete Transaction records. If additional fields need to be tracked for Transaction records that the users should be able to edit, those fields should be stored in the Transactions_Extra table.
- Uninvoiced: can create, edit, and delete Uninvoiced records.
- Value Lists: can view any Value list.
These options give you the ability to use all features of the solution except changing setup information.
- The poweruser account and the poweruser Privilege Set can do everything a user can, and additionally can perform the following actions (most of which are setup related):
- Accounts: can create and edit ACCOUNT records and CURRENT ACCOUNT records, as well as delete CURRENT ACCOUNT records. Users cannot delete ACCOUNT records.
- Fee Categories: can create, edit, and delete FEE CATEGORY records.
- Fees: can create, edit, and delete FEE records.
- GL Codes: can create, edit, and delete GL CODE records.
- Payment Types: can create, edit, and delete PAYMENT TYPE records.
- Payment Rules: can create, edit, and delete PAYMENT RULE and PAYMENT RULE SET records.
- Preferences: can create, edit, and delete PREFERENCES records. Users cannot activate or deactivate the CHANGELOG.
- Schedules: can create, edit, and delete SCHEDULE and SCHEDULE ITEM records.
- Students: can create and edit STUDENT records and CURRENT STUDENT records, as well as delete CURRENT STUDENT records. Users cannot delete STUDENT records.
These options should give you the ability to modify your setup information as needed.
- The admin account and the stuadmin Privilege Set can do everything a poweruser can, and additionally can perform the following actions (most of which are customization related):
- Change Log: can add new records for fields to be tracked, and edit or delete unlocked records. All fields being tracked by default are locked. All new fields are unlocked unless someone locks them. If a user needs to make changes to a locked record, they will have to contact inRESONANCE support.
- Layouts: can create new layouts and modify them. Users can modify the Jump Screens and List layouts for all domains. Users can modify all printable Labels, Letters, Statements, Invoices, Schedules, Receipts, Deposits, Batches and reports to fit their needs.
- Scripts: can create new scripts and modify them. Users cannot modify or delete stock scripts.
- Value Lists: can create new value lists and modify them. Users cannot modify or delete stock value lists.
These options should give you and your team the ability to create new reports and track new fields for finds without compromising the integrity of the solution or vital financial data.
