Assigning Roles to Staff and Activating Accounts in TAM2

THESE ROLES NEED TO BE ASSIGNED IN TAM2

Before staff can view onlne data, they must be assigned the appropriate role or roles and their online account activated. Staff data is pulled from the Teacher file in KEYSTONE.

There are up to 5 roles that a staff member can have:

  • Advisor:
    • can view information about any student via “All Students”
    • can view advisee’s grades and comments
    • can view advisee’s grading history
  • Attendance:
    • can view information about any student via “All Students”
    • can see the classes for which they take attendance and the students in those classes
    • can view and print class rosters for their classes
    • can take attendance for classes
    • can view and change past attendance
    • can enter and view attendance notes
  • Proofer: Person assigned to proof grades and comments entered into TAM2
    • can view information about any student via “All Students”
    • can view and edit any grade/comment entry for open marking periods
    • can make proofing notes for marks in open marking periods
    • can set proofing status for marks
  • Teacher:
    • can view information about any student via “All Students”
    • can see student information for the students in their sections
    • can enter grades and comments for the students in their sections
    • can create overall section comment
    • can view grading history
    • can add notes to the proofer
  • Registrar:
    • can view information about any student via “All Students”
    • can view and edit any grade/comment entry for any marking period in the current academic year
    • can make proofing notes for marks in any marking period in the current academic year
    • can set proofing status for marks

Assigning Roles To a Found Set

As with FAM, SFO, and BillPay, in order for users to access the web service, they must have an account, a role enabled for the account, and they must activate their account by setting a password.
Please note if your TAM2 was configured with Single Sign On, or LDAP (Active Directory/Open Directory) authentication, you will skip the Notify step.

  1. Perform a find for the found set of teachers that you wish to assign roles to. You can use the Teacher, Staff, Advisor checkboxes for your find, these are the same fields as ksTEACHERS.
    NOTE: you should include ACTIVE in your found set, so you are only working with current employees.
  2. Click Roles for Found Set.
  3. Selet the roles you wish to add to this found set. When the role is selected it will turn green.
  4. Click Add or Remove.
  5. Click Sync Logins.
    NOTE: this will open iRCOMMON
  6. Click Enable Access.
  7. Click Notify. (Skip this step if SSO or LDAP)
  8. A dialog box will ask you to confirm. Click Notify.

Assigning Roles Individually

  1. Find the teacher for whom you wish to assign roles.
  2. Click on the role or roles that you wish to add to that staff member. When the role is selected it will turn green.
  3. Click Sync Logins.
  4. Click Enable Access
  5. Notify if necessary (Skip this step if SSO or LDAP)
