Choosing a Privilege Set

A privilege set is what allows, or restricts, access to different parts of a given solution for the account that it is assigned to. While you should have a specific account for each person, you can assign the same privilege set to multiple accounts. There are a number of preconfigured privilege sets, both by FileMaker and inRESONANCE.

inResonance Privilege Sets

Here are the privilege sets that we have preconfigured at iR. We recommend that you select a privilege set from these choices as they were created for the particular solution that you are using.

PORTAL

  • Data Entry
    • Cannot delete records.
    • Cannot access design features, such as layout mode.
  • Designer
    • Read access to all records.
    • Layout access on the jump screens.
    • Can create new layouts.
  • Interviewer
    • Access to interview related data only. This would be data regarding visits, tours, and interviews.
  • Browse
    • Can read and edit most data.
    • Some confidential fields are not visible.
  • Browse Plus
    • Same as the Browse privilege set except all fields are visible.

KEYSTONE

  • User
    • This is the general privilege set that should be associated with KEYSTONE users.
    • Allows view only access to records, layouts, and value lists.
    • Can execute scripts.
  • TAM User
    • Designed for Teachers using the Teacher Access Module related to KEYSTONE.
    • Allows view only access to records, layouts and value lists.

GENERATIONS

  • Designer
    • View only access to records.
    • Full access to layouts, value lists and scripts.
  • Gift Entry
    • View and edit all records.
    • Can create and edit in Transactions.
  • GEN Edit
    • View and edit all records.
    • View only in Transactions.
  • Browser
    • View only access to all records.
  • Volunteer
    • View and edit all records.
    • No access to Transactions.

HEALTH

  • Manager
    • View all records.
    • Edit all except data brought into HEALTH by KEYSTONE.
    • Create and delete records.
  • User
    • View all records.
    • Edit most data.
    • Cannot delete records or create patient records.
  • Browser
    • View all records.
    • Cannot edit or delete records.
  • Public
    • Can only view the fields on the Public table.

STUDENT BILLING

  • Power User
    • View all records.
    • Create, edit and delete most records.
    • Cannot edit layouts.
    • Can execute scripts.
  • User
    • View all records.
    • Create, edit and delete some records.

SANDBOX

  • Sub Admin
    • Can create and edit in all records.
    • Can modify all layouts, value lists, and scripts.
    • Create and Delete records
  • Edit
    • Can view and edit all records.
    • Cannot create or delete records.
  • Data Input
    • Can view and edit all records.
    • Can create new records.
    • Cannot delete records.
  • Browser
    • View only in all records.
    • Can modify some layouts.

FileMaker Privilege Sets

There are three FileMaker privilege sets that are preconfigured:

  • Full Access
  • Data Entry Only
  • Read-Only Access

The Full Access privilege set allows access to everything in FileMaker. This is the privilege set that is associated with the Admin account. With the Full Access privilege set a user can create and edit any field, create and edit layouts, create, edit and delete user accounts and create, edit and delete records.

The Data Entry Only privilege set is designed for a user who only needs to access records. This privilege set restricts access to the designing functions of FileMaker. That means there is no access to layouts, or value lists. However Data Entry Only does have full access to records. A user with this privilege set will be able to create, delete, and edit all records in the database.

The Read-Only Access privilege set allows a user to look at records and tables in the database but limits all access to editing the database. A user with this privilege set cannot create, edit or delete any records. Like the name implies, a user with this privilege set can only read the data in the database.
