Completing Guidance and Enrollment Information

Counselor and staff data should be entered upon installation. If they have not been entered, you will not be able to assign counselors or staff to students. Refer to Managing Counselor and Staff Information for detailed instructions on how to enter counselor and staff information.

  1. Navigate to Home > View/Edit Student records Profile > Guidance/Enrollment.
  2. Assign a counselor to the student by clicking on the Counselor ID pop up menu and choosing a counselor from the list.
  3. Assign a support staff to the student, if desired, by clicking on the Support Staff ID pop up list and choosing a staff member from the list.
  4. Select an AdvisorMath Teacher and English Teacher by clicking on the pop up lists and choosing names from the list.

NOTE: Advisor, Math Teacher and English Teacher data should be entered upon installation in solution preferences. If they have not been entered, you will not be able to select names from the list.

  1. Enter an intended major in the Intended Major field. You can also import this information from the SDQ data.

Notice that the enrollment status of the student has been automatically assigned as Enrolled.

  1. Complete the year of entry (YOE), the current Grade, the Section and Division, if appropriate. Indicate if the student is a boarder or day student (Boarder/Day).

NOTE: If Auto Update YOG has been selected in the solution PreferencesADVOCATE will automatically calculate the expected year of graduation (YOG) based on current grade and current academic year. If not, enter a year of graduation (YOG).

  1. Navigate to Home > View/Edit Student records > Profile > Overview.

Notice that much of the student biographical information you have entered is available on the Overview screen.

  1. Enter any notes about the student in the Notes field on the Overview screen.
