Student and Parent Data

ADVOCATE tracks student information, both academic and non academic, that is relevant to the college application process. Names, addresses, and phone numbers for two parents can be recorded. Using the student and parent names and address information, ADVOCATE automatically generates addresses and salutations for use in mailing labels and reports.

Any information that a student may have entered on their SAT, Student Descriptive Questionnaire (SDQ) may be tracked in ADVOCATE. Additionally, student activities, the number of years involved, and any awards they may have received can be recorded. All interactions with students and their parents can be recorded including phone calls, mailings, letters, emails, and visits. Detailed notes can be entered and they can be date and time stamped. A log of all contacts can be viewed and printed.

Student IDs

Upon record creation, ADVOCATE automatically assigns a unique student ID. These Primary Keys are important as they relate students to counselors, to college applications, to activities, etc. Student IDs can be changed to match IDs assigned to students by other school departments. Care should be taken, however, when changing IDs and should not be changed once the solution is being used without careful consideration and understanding of the implications across the solution. Changing IDs may break links to related data in the solution. For example, a student’s college applications may no longer be linked to the student record if the student ID is changed.

Enrollment Status

In ADVOCATE students are assigned an enrollment status of either EnrolledGraduated or Withdrawn. Upon record creation, the student is automatically designated as Enrolled. You will change the student’s status to either Graduated or Withdrawn as they either graduate or withdrawn from the school.
