SANDBOX End-of-Year Procedures (EOY)

At the beginning of each academic year the number of students in sbSTUDENTS should accurately reflect the number of students enrolled in the school. Additionally, a new admission season begins so the records in sbINQUIRIES needs to reflect the new admission season.

To accomplish this there are a series of procedures that you will need to preform called the End Of Year Procedures (EOY). These are preformed at the end of each academic year.

It is important to note that before completing any part of the End of Year Procedures you must have updated the Reenrollment Status of each student during the re-enrollment period. Note that if the Reenrollment Status of any student is not correct, the record may be accidentally altered or deleted. Refer to the section on Managing Reenrollment for details.

Note: It is vital that you perform these steps in sequence and that you do all of them at the same time.

End of Year (EOYProcedures include the following:

  1. Graduating students at the terminal grade
  2. Withdrawing any students who are not returning next year
  3. Promoting returning students to the next grade.
  4. Enrolling New Students
  5. Resetting Reenrollment Fields
  6. Archiving last year’s Admissions records
  7. Rolling year preferences forward.
