If your school has both PORTAL and KEYSTONE, the FAMILIES file is shared between the two. Therefore, in the case of a divorce, either the PORTAL user or the KEYSTONE user (not both) will create the split family records.
Start in KEYSTONE, the FAMILIES file.
- Perform a find for the family that is affected.
- Select Duplicate Record in the FMP Records menu.
- Select New Window in the FMP Window menu. This will open another window so we can create a new family record.
IMPORTANT: Make sure that the ID numbers are different for each record. If they are identical, perform a find and open the duplicate record with the different ID.
- Select Swap Pa/Pb in the FMP Scripts menu in one of the records. You now have two records, each with a different Pa.
- Delete all of the data for Pb in both records. Make changes where they are necessary (address, phones, prefix, marital status, billing, etc.).
- Next you will make sure all related students are linked properly to the new, split parent records. Navigate to the affected student record in KEYSTONE STUDENTS.
- Navigate to the Parents tab.
- Navigate to the Family 2 tab.
- Click Link Family. This will open the Link Families screen.
For the purposes of illustration, we are going to split the custody of the children between both parents.
- In the list of possible matching families on the left click on the data for Family 2 then click the Link button. Notice the data will fill in for Family 2.
- When this accurately represents the proper relationships, click Save.
- Click Done.
For the second sibling, the custodial parent is different. Remember, the custodial parent is Family 1 for a student. For this example, Family 1 and Family 2 need to be switched.
- Unlink Family 1 and Relink the new Family 1.
- Unlink Family 2 and Relink the new Family 2.
- Repeat this process for any other students in this family, remembering that Family 1 is the custodial family of the student.
- Finally, in the Student’s file, check the relationship listed for each parent.
